Job Summary:

The Hotel Day Receptionist is the first point of contact for guests and visitors. The role involves delivering exceptional customer service, managing check-ins and check-outs, and ensuring that all guest inquiries and needs are met efficiently and professionally. The Day Receptionist will also support the Front Office team in maintaining smooth operations and providing a welcoming environment for all guests.

Key Responsibilities:
Greet and welcome all guests upon arrival, ensuring a warm and friendly atmosphere.
Handle check-ins and check-outs efficiently, following hotel procedures.
Assist with reservations, changes, and cancellations in accordance with hotel policies.
Respond to guest inquiries both in person and over the phone, providing accurate information about the hotel and local area.
Address and resolve guest complaints and issues promptly, escalating to management when necessary.

Administrative Duties:
Manage and process guest payments, including room charges, invoices, and other transactions.
Maintain an organized and tidy reception area, ensuring it reflects the hotel’s standards.
Record guest information and update the hotel management system with accurate details.
Ensure all guest accounts are settled before departure and process any necessary paperwork.

Communication & Coordination:
Liaise with housekeeping, maintenance, and other departments to coordinate guest requests and ensure a seamless guest experience.
Communicate effectively with colleagues to ensure smooth operations and handover between shifts.
Assist in preparing reports, such as occupancy and revenue summaries.

Compliance & Security:
Follow hotel policies and procedures regarding guest confidentiality and data protection.
Adhere to health and safety guidelines to ensure the well-being of guests and staff.
Monitor security cameras and report any suspicious activity or security concerns to management.

Skills & Qualifications:
Experience: Previous experience in a similar role, ideally within the hospitality industry, is preferred.
Customer Service: Strong customer service skills with a friendly, approachable demeanour.
Communication: Excellent verbal and written communication skills in English and at least one other European language (e.g., French, Spanish, German, Italian); additional languages are a plus.
IT Skills: Proficiency in using hotel management systems (e.g., Opera, PMS) and standard office software (e.g., MS Office).
Problem-Solving: Ability to handle difficult situations with tact and professionalism.
Time Management: Strong organizational skills and ability to multitask effectively.
Flexibility: Willingness to work varying shifts, including weekends and holidays.
